The Project Coordinator handles the administrative and document-control side of one or more active projects. The role keeps project information accurate, organized, and moving, so PMs, PEs, and field leadership can focus on execution. It's a good fit for someone who is highly organized, responsive, and wants a career path into project engineering or project management.

Reporting Relationship
Reports directly to the Project Manager. Works daily with Project Engineers, Superintendents, Foremen, Procurement, Warehouse, and Accounting.
Core Responsibilities
Document Control & Project Administration
- Maintain project files in SharePoint/ACC using the standard folder structure (contracts, submittals, RFIs, change orders, billing, safety)
- Log and track RFIs, submittals, transmittals, and drawing/bulletin revisions; distribute current sets to field teams
- Prepare meeting agendas, take minutes, and track action items to closure
- Prepare weekly coordinator update reports and project status reports
Procurement & Material Support
- Enter and track purchase orders, delivery confirmations, and packing slips in coordination with Procurement and the Warehouse
- Help with delivery scheduling and material tracking against the look-ahead schedule
- Track rental equipment on/off rent and vendor invoices
Financial & Billing Support
- Help prepare monthly pay applications, backup documentation, and lien releases
- Compile timesheets, staff augmentation logs, and credit card expense reports for billing
- Help track change order and EWO documentation and status
Compliance & Onboarding
- Track certified payroll, prevailing wage, and union reporting requirements where they apply
- Coordinate site badging, onboarding paperwork, and training records for new craft and staff
- Keep subcontractor and vendor insurance certificates and compliance documents current
Qualifications
Required
- 2+ years in construction administration, project coordination, or a similar office role
- Strong organizational skills and attention to detail
- Proficiency in Microsoft 365 (Excel, Outlook, SharePoint, Teams)
- Clear written and verbal communication
- Able to manage several deadlines in a fast-paced environment
Preferred
- Experience in electrical, mission-critical, or data center construction
- Familiarity with Procore, Autodesk Construction Cloud, or Viewpoint/Vista
- Exposure to union labor environments and certified payroll
- Associate's or Bachelor's degree in Construction Management or Business
